Property Administrator
Location: Biltmore Corridor
Schedule: Monday–Friday, 8:00 AM – 5:00 PM (on-site)
A well-established, small commercial real estate firm is seeking a Property Administrator to support day-to-day operations across a diverse portfolio. This is a highly visible role within a tight-knit office of tenured employees, offering the opportunity to work closely with leadership and gain hands-on exposure to all aspects of property management.
The firm manages a portfolio of properties totaling 1.5 million square feet across Arizona and Texas, with a focus on big-box anchored retail centers, along with office and industrial assets. This position is being added to relieve administrative burden from Property Managers and improve overall operational efficiency for the team.
Key Responsibilities
- Provide administrative support to Property Managers across the portfolio
- Track and maintain Certificates of Insurance (COIs) for tenants and vendors
- Collect, review, and manage monthly sales reports from retail tenants
- Assist with accounts payable administration, including invoice coding and processing
- Handle tenant communication via phone and email, ensuring timely follow-up and resolution
- Maintain organized records and documentation within Yardi (training provided)
- Support general office operations and assist with special projects as needed
Qualifications
- Previous administrative experience required; commercial property management or real estate office experience strongly preferred
- Familiarity with property management processes such as COI tracking, tenant relations, or AP support is a plus
- Strong organizational skills with the ability to manage multiple priorities and follow through on tasks
- Detail-oriented with a high level of accuracy in data entry and documentation
- Professional communication skills and a customer service mindset
- Comfortable working in a fast-paced environment with a high volume of email and follow-up
