Executive Assistant to Chief Executive
Location: Scottsdale, AZ (On-Site)
About the Role
We are seeking a highly experienced, business-mature Executive Assistant to support a successful and fast-moving Chief Executive. Success in this role is not measured in task completion alone. It requires judgment, initiative, resilience, and the ability to operate as a strategic partner who protects the executive’s time while advancing business priorities.
The ideal candidate has deep exposure in business and excellent communication skills in working with senior leadership, investors, and highly placed executives and has previously supported a high-performing, highly visible executive. You anticipate needs before they are expressed, exercise independent judgment, and move fluidly in a dynamic setting where priorities shift quickly.
Key Responsibilities
Executive Partnership & Business Support
• Serve as a trusted right hand to the Chief Executive
• Initiate activities and follow-up actions on behalf of the executive
• Track executive interactions with prospective and current clients
• Manage follow-up cadence and using HubSpot or a similar CRM system
• Ensure timely next steps, reminders, and relationship touchpoints
Calendar & Time Protection
• Strategically manage and prioritize calendar commitments
• Confirm meetings and ensure alignment with business priorities
• Filter meeting requests and limit engagements to high-value interactions
• Anticipate preparation needs based on calendar, travel, and business context
• Brief the executive on essential information before meetings
Communication Management
• Serve as gatekeeper for inbound communications, handling to the fullest extent possible
• Assess, prioritize, and route communications appropriately
• Provide concise summaries and actionable briefings to executive
Travel & Logistics
• Coordinate all travel, transportation, and accommodations
• Prepare detailed itineraries and ensure seamless transitions
• Anticipate contingencies and proactively resolve issues
