Corporate Events Coordinator (Contract)
Location: Scottsdale, Arizona (Hybrid)
Compensation: $36–$40 per hour
We are seeking an experienced Corporate Events Coordinator to support the planning and execution of a Scottsdale company’s largest corporate conference of the year, hosting approximately 500 professional attendees and event sponsors. This high-visibility event will take place at the end of June and requires a detail-oriented, highly autonomous individual who can manage logistics with minimal oversight and ensure a seamless experience from planning through execution.
This role will work closely with executive leadership to coordinate all aspects of the conference, including vendor sourcing, budgeting, timelines, and logistics. The ideal candidate brings prior experience planning corporate events of similar scale and is confident navigating vendor negotiations, obtaining competitive quotes, and managing multiple moving parts independently.
In addition to the annual conference, this individual will support the planning and coordination of smaller corporate events hosted at the company’s headquarters over the next three months. These include approximately eight meetings per month, requiring oversight of catering, scheduling, vendor coordination, and overall event logistics.
Key Responsibilities
- Lead end-to-end planning and execution of a large-scale corporate conference for 500 attendees, including venue coordination, vendor management, and timeline development
- Source and manage vendors, obtain and evaluate quotes, and ensure services are delivered on time and within budget
- Develop and maintain detailed event timelines, checklists, and logistics plans to ensure flawless execution
- Collaborate with executive leadership and internal stakeholders to align event goals and expectations
- Coordinate all event logistics including catering, A/V, materials, and on-site support
- Support planning and execution of multiple smaller corporate events at headquarters, managing all related logistics and vendor relationships
- Troubleshoot and problem-solve proactively to address any issues leading up to and during events
Qualifications
- Proven experience planning and executing corporate meetings and events, including large-scale conferences
- Ability to work independently with minimal direction and manage multiple priorities simultaneously
- Strong vendor management skills, including sourcing, negotiating, and coordinating services
- Highly organized with exceptional attention to detail and time management
- Excellent communication and interpersonal skills
Additional Details
- This is a temporary, three-month assignment supporting a critical event period and ongoing internal events
- Hybrid work schedule with some in-office days in the Scottsdale location and flexibility for remote work
