Project Coordinator
Leading commercial furniture solutions provider is seeking Project Coordinator to support sales, purchasing, and operations for uniquely tailored solutions for each client site. Each project is a unique design and requires coordinated and timely installation of all components.
In the role of Project Coordinator you play a key role, ensuring seamless project execution and excellent client experiences.
The Project Coordinator will support the outside sales team by managing project documentation, preparing customer proposals, coordinating vendor orders, and scheduling installations. This role requires excellent organization, communication, and attention to detail to ensure projects move smoothly from quote to final billing.
What You’ll Do
- Create and manage project files in E-ManageOne.
- Prepare quotes, proposals, and deliverables for customers, including document imports and discounting.
- Collect deposits or purchase orders from customers and book orders.
- Issue purchase orders, track acknowledgements, and monitor shipping schedules.
- Coordinate with vendors and compare acknowledgements against purchase orders, making adjustments as needed.
- Schedule installations and communicate dates/times with customers and operations.
- Prepare work orders with necessary documents (drawings, BOMs, receiving info) for operations.
- Use SnapTracker to manage inventory, create reservations for product, and generate pick/pull lists.
- Manage billing processes, including audits, invoice tracking, and final submissions.
- Oversee punch list items, create new POs, schedule completion, and close projects.
- Collaborate with sales representatives on upcoming projects and backlog updates.
- Maintain accurate project status, cashflow tracking, and timely customer communications.
What Success Looks Like
- Projects are scheduled and tracked promptly upon receiving shipping acknowledgements.
- Deliveries and small projects are scheduled without delays.
- Projects are completed within budget and timeline.
- Punch lists are resolved and submitted within one business day of project completion.

- Proven background in project coordination, order management, commercial furniture or logistics/event management
- Strong organizational skills with exceptional attention to detail.
- Ability to manage multiple tasks and deadlines in a fast-paced environment.

- Team-oriented and comfortable working across all levels of an organization.
Work Arrangement: On-site, M-F
Salary: $57-70K + full benefits
