Position: Administrative Assistant – Payroll & Travel Coordination
Location: North Phoenix / Northwest Phoenix
Compensation: $26 / hour ($54,000 annually) + 20% annual bonus

About the Role:
We are seeking a proactive and detail-driven Bilingual Administrative Assistant to support our Payroll Department. This role offers a unique mix of administrative and logistical duties—particularly coordinating employee travel and lodging to project sites outside of normal commuting distance. You’ll also play a key role in supporting payroll processing and internal communication across departments. Key Responsibilities:
- Coordinate all aspects of travel arrangements for field employees, including hotel bookings, corporate rate negotiation, direct billing setup, and flight arrangements.
- Manage and maintain payroll information by collecting, calculating, and entering data accurately.
- Collaborate with HR to ensure payroll records are current and compliant.
- Generate daily, monthly, quarterly, year-end, and ad hoc payroll-related reports.
- Communicate with supervisors to confirm and correct time entries.
- Process employee deductions and garnishments.
- Respond to employee payroll inquiries and resolve discrepancies.
- Maintain confidentiality and ensure compliance with payroll policies and procedures.
- Contribute to a strong team culture grounded in accountability, ownership, and performance excellence.
What You Bring:
- 2+ years of administrative experience.
- Strong attention to detail and accuracy in numerical and alphanumeric data entry.
- Experience with entry in databases and Excel.
- Excellent time management and communication skills.
- Ability to multitask and adapt in a fast-paced environment.
- Proven discretion in handling confidential information.
- Bilingual in English and Spanish.
Preferred Qualifications:
- Experience with SAGE or similar payroll systems and mobile timekeeping tools.
- Background in the construction industry or similar field environment.
- Prior experience with travel coordination is preferred.
