A privately held multi-family real estate development and holdings company  seeks a hands-on, resourceful Administrative Assistant to support the firm’s four family members/owners. This is a unique opportunity for a self-starter in a fast-paced and dynamic environment!


Position Summary

The Administrative Assistant will provide comprehensive administrative, operational, and light accounting support across the firm’s business and family-related matters. The ideal candidate has experience in a family office, small real estate investment firm, or privately held business.

 


 Responsibilities:

  • Manage complex calendars, travel arrangements, meeting logistics, and follow-up communications.

  • Prepare, review, and distribute internal and external communications, reports, trust and estate documents, and meeting materials.

  • Hire, coordinate, and manage relationships with vendors and service providers for both business and property management needs.

  • Perform data entry and reconciliation for accounts payable and accounts receivable.

  • Assist with tax preparation documentation and coordination alongside the CPA.

  • Support AP & AR and light construction accounting and project-related billing (training provided).

  • Provide limited personal assistant support to family members as it relates to business operations (e.g., scheduling, document preparation, travel).

  • Coordinate logistics for business and personal travel arrangements.

  • Support occasional special projects, events, and philanthropic initiatives.


Qualifications:

  • 5+ years of experience as an Administrative Assistant, Administrative Manager, or Family Office Coordinator.

  • Background in real estate, construction, or a family-owned business strongly preferred.

  • Proficiency in Microsoft Office Suite and/or Google Workspace; familiarity with accounting software (QuickBooks, Sage, etc.).

  • High degree of professionalism, integrity, and discretion in handling confidential information.

Excellent communication, organization, and problem-solving skills.

Location: Scottsdale
Work Arrangement: Hybrid after training
Salary: 65-75K+ DOE

This position will start temp with the opportunity for conversion.
