Executive Assistant – Sales Operations

We are seeking an Executive Assistant to join our Sales & Marketing Operations team to play a pivotal role in supporting executive leadership, driving sales and marketing initiatives, and ensuring smooth operations within the department. This is an opportunity to bring your expertise in reporting, data analytics, research, and communication to a vibrant and fast-paced environment. Specifically, we are looking for an Excel Guru who loves to work with complex numbers and data and be the “go-to” for special projects focused on data analytics and reporting. This position will support the VP of Sales & Marketing of a reputable and long-standing Valley company.
Key Responsibilities
Administrative Excellence:
- Serve as a trusted partner to executive leadership by managing calendars, correspondence, and confidential information.
- Coordinate department meetings, maintain administrative records, and distribute critical updates.
- Act as the go-to resource for organizing team goals, onboarding new hires, and supporting day-to-day operations.
Market Research & Analysis:
- Plan and execute customer and market research projects to inform strategic decisions.
- Analyze demographic and market data, identifying trends to support forecasting and planning.
- Create compelling reports using dynamic tables, charts, and dashboards.
Sales Support & Pricing Management:
- Manage pricing, incentives, and inventory information across multiple systems.
- Collaborate with finance and sales teams to develop effective pricing strategies and analyze trends.
Event Coordination:
- Plan and execute special events, training sessions, and team celebrations, ensuring every detail is covered.
- Manage travel arrangements, catering, and supplies to create seamless experiences for attendees.
Community Support:
- Oversee the start-up and maintenance of new initiatives, coordinating with internal teams and vendors to ensure successful launches.
- Maintain updated information on sales and marketing documents and systems for accuracy and efficiency.
Budget & Financial Oversight:
- Support the sales and marketing budget, tracking expenses, processing invoices, and ensuring timely vendor payments.
- Manage commission processes, bonus programs, and other financial incentives for the team.

What We’re Looking For:
- Experience: 5-7 years of executive-level administrative experience required; 3-5 years in sales and marketing is preferred.
- Customer Focus: A commitment to delivering outstanding customer service, with proven success in building and maintaining strong relationships.
- Communication Skills: Exceptional verbal, written, and listening abilities to effectively interact with internal and external stakeholders.
- Organization & Adaptability: The ability to prioritize tasks, meet deadlines, and adapt to changing situations with a proactive mindset.
- Technical Proficiency: Advanced skills in MS Excel, with working knowledge of Word, PowerPoint, Outlook, and PowerBI. Familiarity with Salesforce or the ability to learn it quickly is required.
- Positive Attitude: Enthusiastic, energetic, and detail-oriented with a strong work ethic.

Salary: $80-90K DOE + Bonus
